Milestone #11: Schedule Doctoral Final Oral Exam

The order in which different actions leading up the final oral exam occur can vary based upon the timing of the final oral exam. Once students have an idea of when their final oral exam will take place they are encouraged to reach out to Alicia George (albe0138@umnedu) for a timeline and order of milestones tailored to their timing.

When nearing the final oral exam, It is the student’s responsibility to:

  1. Ensure the degree program plan or GPAS that was filed at the Graduate School is still accurate. If you did not take a course listed on your submitted plan, the Graduate School will not approve the final oral examination. Contact Alicia George ([email protected]) and Karen McCray ([email protected]) instructions about making changes in the degree plan, if needed.

  2. Identify a date for the exam that is suitable for all committee members. Final oral exams may be virtual, in-person, or blended format. Please let Alicia George ([email protected]) and Karen McCray ([email protected]) know as soon as the date/time is set.

  3. Schedule the exam online with the Graduate School as soon as the date is finalized with the committee. The exam can be scheduled up to one week in advance of the actual examination, but is recommended it be scheduled one month in advance to allow adequate time for committee review. GSSP will not release the Final Examination Form to the Final Oral Examination Committee chair until the student has scheduled the exam with the graduate school and the GSSP Office has verified that the student has met specific criteria (that check is triggered when the exam is scheduled online). GSSP will send an email to the student notifying them that they are approved for the final exam.

  4. Secure the Final oral Exam Location: Rooms for in-peron or blended format are scheduled through your advisor's cooperative unit with the information: date/time,request 6-194 or 6-108 WDH as preferred rooms, approximate number of attendees, A/V needs, and advisor's name. Contact Alicia George ([email protected]) and Karen McCray ([email protected]) if your final oral exam will be blended or entirely virtual.

  5. As soon as the date, time, and location/link are finalized, submit the PhD Public Presentation Information form to facilitate the announcement of your public presentation. The public presentation is required by the Graduate School.
